Privacy Policy

Couples Therapy Online (“we”, “us” or “our”) respects your privacy and is committed to protecting the personal information you provide to us. This Privacy Policy explains how we collect, use, store and protect your personal information when you use our website or engage our counselling services.

We may collect personal information such as your name, contact details, information you provide when making an enquiry or booking an appointment, and information relevant to providing counselling services. As counselling may involve sensitive personal information, including information relating to your mental health and wellbeing, we take particular care to protect this information and maintain client confidentiality.

Your information is used to respond to enquiries, arrange and provide counselling sessions, manage appointments and payments, maintain appropriate professional records, communicate with you about your counselling, and meet our professional, legal and ethical obligations.

We may use secure third-party services to assist with areas such as online appointments, payment processing, communications and the secure organisation of counselling records and notes. Where third-party services are used, we take reasonable steps to ensure that personal information is handled securely and appropriately.

As part of our counselling practice, we may use Heidi Health, an AI-supported tool to assist with the organisation and preparation of session notes. Further information about how this technology is used and how client information is handled will be provided as part of the counselling consent process.

Counselling records are stored securely and are retained for seven years following the last date of service, in accordance with applicable professional record-keeping requirements. Certain records may need to be retained for longer where required by law, professional obligations, insurance requirements or legal proceedings. The IACP recommends secure retention and appropriate protection of counselling records. IACP Record Keeping & Retention Guidelines

We maintain the confidentiality of counselling information except where disclosure is permitted or required by law, or where there is a serious safeguarding or risk concern. Further information about confidentiality and its limits is provided in our counselling Terms & Conditions and Client Agreement.
